Fall 2020 Instructions FAQ

Fall 2020 will begin as specified in the academic calendar on Sunday, August 16, 2020. The academic calendar will not change.

Teaching will continue to be online except for students enrolled in some specific courses. Faculty members teaching these courses will communicate directly with their students to notify them that teaching will be on campus. These courses include:

    • Graduate studies courses (diploma, masters and doctoral degrees). Face-to-face teaching on campus will start on Tuesday, 1 September, 2020.
    • Practical laboratory courses that require students to attend physically and perform hands-on experiment in the laboratory. Departments offering these labs will monitor the teaching process in light of the announced safety measures by the University. Students will attend these courses on campus starting from Sunday, 6 September, 2020.
    • Graduation and research projects, as well as courses of special nature that require students to attend on campus following the approval of the College Dean. Academic departments ensure that all safety measures announced by the university are applied.
    • Internship, fieldwork, preceptorship, and clinical practice courses. Colleges are to develop a mechanism in coordination with the training bodies and according to the safety measures announced by the relevant authorities.
    • Main (midterm and final) exams for all courses will be conducted on campus regardless of the teaching method of these courses (online or on campus). A plan for conducting midterm and final exams will be developed and shared early enough before the exam date with making sure that all safety measures are applied.
The procedures set by the State of Qatar will be applied and if additional procedures are introduced, they will be announced in due time. For more information, please visit the Government Communication Office website for the latest travel updates.

All academic policies and procedures suspended during Spring 2020 are reactivated. There will be no exceptions and all university policies and procedures related to students and the teaching and learning processes.

Yes, the attendance and absence policy will be applied in the distance learning period. Students are required to attend online classes.

Categories exempted from on campus attendance of classes

Students with chronic illness and pregnant students who are at high risk of contracting coronavirus (COVID-19) and its complications can apply for an exemption from attending lectures at campus. A health certificate approved and certified by the Ministry of Health should be attached to the request. The certificate should clearly show that the student suffers from a chronic disease or a health condition that may make her/him more vulnerable to infection with the coronavirus Covid-19 or its complications. The request will be presented to the designated committee and the student will be informed of the committee’s decision via his/her university e-mail.
The deadline for receiving exemption requests is Thursday, 10 September, 2020. Note that the designated committee will continue to receive exemption requests for new reported health cases after this date (such as: pregnant women, those infected with coronavirus Covid-19, students in quarantine, suspected or exposed) throughout the Fall 2020 semester or until the state announces a return to normalcy with the related measures.
Students who are at high risk of contracting the disease and its complications (those with chronic diseases and pregnant women) may request an exception from attending lectures taught on campus. Any requests for exemption from attendance due to ordinary illnesses will not be considered, and the days of absence due to regular illnesses will be counted within the maximum permissible limit as per the attendance and absence policy.
No, not necessarily, as the exception depends on the course taken. The student must coordinate with the course instructor and determine the method and mechanism for compensating the lectures that may require the student’s attendance in a safe manner and without direct contact with other students in the same lecture or in the manner determined by the course instructor.
No, all midterm and final exams for all university courses will be held on campus with all precautionary measures taken and in coordination with the courses instructors.
Yes, students from these categories must apply for the exemption in order to distinguish themselves, as they will be prevented from entering the university campus in the event that their Ehteraz color is not green. This is to preserve the safety of students and to avoid the spread of Covid-19. Students should note that the absence due to being infected with coronavirus or being quarantined will be counted within the maximum permissible percentage in the attendance and absence policy (25%) and not in addition to it.
Students who wish to complete the semester must ensure that they can return to the country before the exams date and not be absent from the lectures of the courses that will be taught on the campus within the maximum permissible limit in the attendance and absence policy (25%). In the event that the student is unable to attend, she/he should withdraw from the semester.
In this event, the university relinquishes its responsibility in the event that the student has any symptoms or pathological complications that she/he may be exposed to due to her/his violation of the gradual lifting procedures or in the event that she/he does not disclose his health status.
The exemption includes the categories of students who are at high risk of contracting Covid-19 and its complications (those with chronic diseases, pregnant women and the elderly over the age of 60 years) and does not include those with first-degree relatives with chronic diseases.

Procedures to apply for available services

For printed textbooks, students will be informed of the dates of the distribution according to the colleges, with the appropriate procedures to be followed before visiting the University Textbook Section. The textbooks distribution period will last for two to three weeks. Students will be allowed entry from one gate to ensure that preventive measures are followed. In the hall, social distancing will be enforced. The steps to apply for e-books will be announced, and students do not have to visit the campus. First: E-Books

The service is available from 16 August 2020 and the student can apply for the e-book through Banner Self-Service System. To learn the steps to apply for e-books, please read the manual guide.

Second: Printed Books

University printed Textbooks distribution has reopened the print textbooks distribution starting from Tuesday, 8 September, 2020 until Thursday, 17 September, 2020, according to the days allocated for male and female students (as shown in the table below).

All students are requested to book an appointment to collect their textbooks in advance through the Appointment Manager System. Therefore, we kindly advise you to adhere to the instructions below before coming to the Section.

The student can upload all required documents electronically via the financial aid online request on the Banner Self-Service System. To learn the steps to apply and follow up on the application status, please read the manual guide.

In case you have any inquiries concerning the service during the first phase of the application, please email the Student Financial Aid email or call the section through the following numbers: for male students: 44035972/7924 – for female students: 44035832/5963/3489.

If the student wishes to apply for this certificate for internal use, the certificate is requested through the self-service system (Banner) by following the steps of applying for this certificate, where the requested certificate will be sent to the student's email immediately. If this student applies for this certificate, for external use, he/she should submit the request through Banner. The certificate will be issued within 48 working hours. The student will then be contacted by the Registration Section to come to campus to receive the certificate, or to authorize someone on her/his behalf to receive it after sending an email (from her/his university account) stating the name and ID number of the authorized person.
The student can choose the type of document and how to apply for it through the website. Once the request is submitted, the required documents will be sent to the student's email.
If the student wishes to receive the original printed copy, a date will be set to receive the documents in person. The student can authorize another person to receive it on her/his behalf after sending an email (from her/his university account) stating the name and ID number of the authorized person.
If the student is not currently in Qatar, the application will be submitted through the website and through an e-mail to the Student Records Section, stating the student's mailbox address abroad, where the Student Records Section will send the documents to the address specified in the application.

In the event that there is a need for the student to attend in person during the second and third phases of the application, please follow the safety procedures and all precautionary measures (wearing a facemask, gloves, social distancing, activating the Ehteraz application before entering the university campus). The office of the Male Students Financial Aid section is located in the Student Activities Building (B02) - first floor - the financial aid reception office. For female students, the office is located in the Admission and Registration Building (C12) - ground floor - financial aid reception desk.

QU Library

Qatar University Library has reopened on Tuesday, 1 September, 2020. Library working hours will be from Sunday to Thursday, from 7:30 am to 2:30 pm with gradual restoration of its services. All users must adhere to the Qatar University guidelines through maintaining safety precautionary measures, social distancing, and using personal protective equipment.

All borrowed books was automatically renewed and no fines or penalties will apply during the time the library’s closure. The automatic renewal of the borrowed books would stop starting from 1 September 2020. Please return the borrowed items to the Book Return Box outside the main library entrance and the gate no.1 security office, to avoid overdue fines.

Employee and Workforce

Qatar University implements the decisions issued by the the Supreme Committee for Crisis Management, to increase the percentage of employees in the workplace to 80% of the total number of employees, in order to commence the second phase of the plan to gradually lift the restrictions imposed to reduce the spread of coronavirus (COVID-19). The rest of the employees should carry out the tasks assigned to them remotely. The decision will be effective as of Sunday, 9 August, 2020.

Everyone should abide by this decision and consider the following:

  • Employees who suffer from chronic diseases, pregnant women, and the elderly over the age of 60 years should continue to work remotely.
  • Employees from the above categories need to provide certified medical reports that prove their health status to the Employee Relations section at the Human Resources Department via the email address : employee.relation@qu.edu.qa 
  • Select and notify the employees returning to work in each Department/College, and coordinate with the Human Resources Department, while adhering to the specific percentage of employees allowed in the workplace (80%).
  • The direct supervisor shall follow-up and oversee the implementation of this decision, provided that the employees communicate with their direct supervisor and carry out the tasks assigned to them remotely.

All employees mentioned in the categories above are expected to remotely perform the tasks assigned to them by their direct supervisor. The HR Department issued a circular with a respective form attached thereto by which the direct supervisor can identify the authority and the service that an employee needs to remotely do the work assigned to him/her. Therefore, the employee has all the support and tools needed to perform the assigned tasks.
Each employee at Qatar University is important and has an essential part in the organization. However, in these circumstances some tasks could be done remotely by the employees and some can be postponed without any major effect to the daily workflow. On the other hand, there are tasks that are time sensitive and may affect all employees such as the payroll and the IT services, which if disrupted, other business will suffer. This is why each sector is responsible to take charge of arranging this among its employees in order to ensure the continuity of work and the completion of required tasks.
If an employee is advised to self -isolation he/she must report that to his/ her direct supervisor.
Attendance monitoring is the responsibility of the direct supervisor until further notice as stated by a circular issued by the office of the VP for Administration and Financial Affairs on 10 March 2020 about the suspension of the biometric fingerprint system.

According to Qatar University’s precautionary measures to prevent the spread of the Coronavirus (COVID 19), all QU events on and off campus are suspended until further notice. Qatar University urge its entire academic and administration staff to conduct their meetings using online platforms provided by the university.
